Immediate invoices and POS transactions are used for walk-in, cash customers but may also be used for regular orders that are picked up from the warehouse. The default settings on regular orders are always taken from the customer master record or the system Configuration Settings. In contrast, for immediate invoices and POS transactions the default settings are taken from the User record of the person entering the transaction rather than from the customer record. This reflects the fact that these transactions take place at the user’s warehouse location rather than upon delivery to the customer’s location.

Customer Record Settings

  • Customer 160225-Devas Catering based in Santa Rosa, CA with Zip Code 95404, is set to Warehouse 4-ADS SUPPLY CENTER-San Rafael.

Regular Order

  • Create a regular sales order for Customer 160225.
  • The default order settings for: (1) Warehouse, (2) Tax Jurisdiction and (3) Deliver To Address, are all taken from the Customer record:
    • Warehouse is 4-ADS SUPPLY CENTER
    • Tax Jurisdiction is SANTA ROSA_95404
    • Deliver to address is 211 E Street, Santa Rosa, CA 95404

Immediate Invoice

  • Create an immediate invoice for Customer 160225.
  • In this case, the default settings for (1) Warehouse, (2) Tax Jurisdiction and (3) Deliver To Address, are all taken from the user record of the person entering the order.
  • User Admin is linked to Warehouse 1-ADS Solutions with address 7665 Redwood Blvd., Novato, CA 94945.

  • The default settings for an immediate invoice, entered by user Admin, are:
    • Warehouse is 1-ADS Solutions
    • Tax Jurisdiction is MARIN COUNTY
    • Deliver to address is 7665 Redwood Blvd, Novato, CA 94945

POS Screen

  • As with the immediate invoice, the POS screen also takes the default values from the user record rather than from the Customer record (see this wiki: Using the POS Screen).

Service Invoice

  • Service Invoices are for work performed at the Customer’s location (see this wiki: Making Service Calls).
  • As such, all the Service Invoice settings come from the Customer record, rather than from the User record as is the case for Immediate Invoices.
