Accolent comes with the District of Columbia, U.S. territories and U.S. states already defined. You can use the States screen to add additional States for foreign customers and vendors.

States

  • Go to Settings > Value Lists > Other Value Lists (M to Z) > States to see a list of states, edit a state account, or create a new state

States Fields

Fields and Functions Description
Active check box To view an inactive account, use the Advanced Search screen and check both the “Active” and “Inactive” boxes.
State Code State codes are two-letter codes representing a state, province or other legal description required for an address. An entry in this field is required.
State Name The State Name is used to describe the State and to print on forms (see Print option). An entry in this field is required. Accepts letters and numbers to a maximum of 20 characters.
Country Name The Country Name is used to describe the Country and to print on forms. Click the magnifying glass icon to select the appropriate corresponding Country Name. Additional countries can be defined in the Country Value List.
Labor If labor is taxable for shipments made to customers in this state select a “Yes”, otherwise select a “No.”
Freight If freight is taxable for shipments made to customers in this state select “Yes”, otherwise select “No”.
Print Select “Code” if you want the customer’s state to print to as a two-letter code (in the State field) on forms or select “Name” to print the state name on forms. Select “Skip” if you do not want the State entry to print at all; this may be of use for non-US addresses.
Help for non US Addresses Print “Name” option helps with non US addresses by first entering a two letter code in (State Code field) then state, province or other valid description in the (State Name field) and then by selecting a print state “Name” option instead of state “Code” because the code might not be recognizable by the US Carriers.
