The credit status codes assigned to a customer determine whether the customer will be allowed to place an order and under what conditions.

Credit Statuses

  • A credit status may block any order entry for customers assigned to that credit status
  • An order can be restricted without a customer PO number, a deposit, signature, or full payment
  • Credit status also can allow a seasonal adjustment in the customer’s credit limit
  • A customer’s credit status also determines when a customer will be placed on “credit hold” based on the number of days an invoice is overdue (based on the invoice date or invoice due date)
  • Any changes made to a credit status affect all customers assigned to that credit status
  • Go to Settings > Value Lists > Value Lists (A-L) to see a list of credit status codes, edit a credit status, or create a new credit status

Credit Status Fields

Fields Description
Active check box To view an inactive account, see Active and Inactive Records.
Credit Status Code Three-digit code that identifies the credit status. An entry in this field is required.
Description Description identifying the credit status. An entry in this field is required.
Order OK? To allow orders for customers with this credit status select “YES”. Prevent orders from being placed by selecting “NO”. This is known as a “manual credit hold.”  Users with role settings allowing them to release an order from credit hold or create a held order will be able to create orders, if needed.
PO Required? A “YES” setting will require a value in the Customer PO Number field during order entry.
Deposit Required? A “YES” setting will require a deposit to be paid when an order is placed.
Full Payment Required? A “YES” setting will require the order to be paid in full at the time of entry.
Signature Required? Reminder to user creating an order that a customer’s signature is required.
No. of Days until Due Prevent orders from customers more than a specified number of days overdue. During order entry, a warning message will appear if a customer has invoices that have not been paid according to the terms defined on the invoice AND/OR according to the number of days defined here. A customer is put on “Credit Hold” if it has outstanding invoices. Your system can be set by ADS Solutions to calculate the number of days from the invoice date or from the due date (as derived from the terms on the invoice). Contact ADS Solutions to set your system to calculate DAYS due from invoice date or from due date. If your system is set to count days from the invoice due date, any days here will add additional days from the due date. If your system is set to count days due from the invoice date, this will represent the maximum number of days the customer will have to pay the invoice before it is overdue regardless of terms.
