Accolent ERP Products are master records. From any product page, use the Product Views menus to access various product-related information. The product views menus, can be accessed from Inventory/Products > Products > List Products > select a product > Views.

Sales History by Product

  • From the product record views menu, the Sales History by Product option summarizes sales history and profit for the product for specified warehouses in a selected date range

Product Inventory Status

  • From the Product record Views menu, the Inventory Status option displays the Inventory Status screen for the product.
  • To see inventory status for a product and transactions including the product go to Product > Views > Inventory Status
  • Select the Inventory Status option in the Inventory By field to see a detailed listing of quantities for this product in all warehouses.

Inventory Status History: Display Area
  • Standard display fields for Inventory Status option.
Fields and Functions Description
QOH Quantity on Hand – amount of the product on hand.
Q-Pick Quantity on Pick – amount of the product in shipping status.
Q-Ord Quantity on Order – amount of the product on order but not yet in shipping status.
Q-BO Quantity on Back Order – amount of the product on back order.
Q-Avail Quantity Available – this is the quantity not already committed to customers. Specifically, Q-Avail = QOH – Q-Pick – Q-Ord – Q-BO.
Q-PO Quantity on PO – amount on Purchase Order. This does not affect the quantity available.
Q-Quote Quantity on Quote – amount on Quotes. This does not affect the quantity available.
Q-Fut Quantity on Future Order – amount on orders with future dates. This does not affect the quantity available.
Q-SPO Quantity of regular (sales class) items on Special Order. This does not affect the quantity available. These are “forced special orders” for items that are not normally considered special order class items.
Q-Def Quantity of Defective – amount held in a separate Inventory-Defective account. Neither QOH nor Q-Avail include Defective items. Defective items are stored in a separate General Ledger Account, Inventory-Defective. Separate transactions have to be done in order to move damaged items out of Inventory into Inventory-Defective.
WIP-In and WIP-Out The number of items on BOMs in work in process (WIP) status. WIP-Out is the number of items being used on BOM batches. WIP-In shows the numbers of items that will be created by finishing BOMs. Items in WIP status are considered “protected stock” and cannot be sold until the BOM batch is finished or the items are removed from WIP. These fields display when “WIP” is selected in the Options field.
W-In and W-Out and Change Date Warehouse Transfer incoming and outgoing items and change date. These fields display when Warehouse In/Out is selected in the Options field. W-Out is the number of items being sent to another warehouse. W-In shows the numbers of items to be received at a warehouse. The total number of W-Out items should match the total number of W-In items because both numbers represent the same products.
Q-Temp Quantity on Temporary Orders – amount held in temporary status. Whenever an order is started but improperly completed (e.g., if the Internet connectivity is lost), the transaction is stored in the temporary order table. This allows the order to be retrieved and the user can pick up where left off. Because orders commit inventory line by line, orders held in the temporary order table do affect quantity available. It is recommended that the temporary order table be reviewed periodically for any items that may be able to be deleted.  There is a configurable system setting that determines how long temporary orders are retained for.

PO History

  • From the Product record Views menu, the PO History option displays the purchase order history for the product.
  • Options include a view for All POs and only Open POs. The current status (open, closed, number of items remaining to be received) is shown. Within this function, click the purchase order number to view a PO summary.
  • An additional option shows freight detail.

Last Sales

  • From the Product record Views menu, the Last Sales option lists recent sales to customers.

Ledger

  • From the Product record Views menu, the Ledger option displays the Ledger Card for the product for a specified warehouse.
  • The inventory ledger card provides specific product transactions by warehouse.
  • The product transactions are listed in reverse chronological order. To see further detail of sales or PO receipts and inventory changes, click the Transaction No and Receipt No hyperlinks.
Product Ledger Card: Fields and Display
Fields and Functions Description
Warehouse Select warehouse to display information for.
Trans No Transaction number and link to sales or purchasing transaction. To see a summary of a sales or purchasing transaction, click the transaction no hyperlink.
Type Type of transaction shown in Trans No column.
Receipt No To see the detail of receivers and inventory changes, click the receipt no hyperlink.
Date / Time Date and time of transaction.
Quantity Quantity on the transaction.
UOM UOM on the transaction.
UOM Ratio Ratio of UOM physical quantity to that of default stocking UOM.
Stocking UOM Default stocking UOM in which inventory is kept.
Beginning Balance Balance in inventory units before the transaction.
Debit Amount of increase in inventory on hand resulting from the transaction.
Credit Amount of reduction in inventory on hand resulting from the transaction.
Ending Balance Number of inventory units on hand after the transaction. Beginning Balance plus or minus Debit or Credit should result in Ending Balance.

Special Order History

  • From the Product record Views menu, the Special Order History option displays the special order history for the product for a particular warehouse.
  • Options include a view for All SPOs (special orders) and only SPOs without a PO. Click the special order number to view an SPO summary.

Price Quote

  • This option is used to quote pricing of a product in a specified quantity to a particular customer. It is available from the Customer record or from the Product record.
Product Price Quote: Fields
Fields and Functions Description
Customer Code Customer code.
Description Customer or product description based on customer or product number.
UOM UOM to quote.
Class Product class.
Quantity Quantity quoted.
Product Price Quote: Display Area
Fields and Functions Description
Price Display Calculated price for the product for this customer. This price is the same as would show as the default price during order entry.
Inventory Status Summary Inventory status of the product in the customer’s default warehouse. UOM ratio for the selected UOM is also shown.
Last Sales Details for the last invoice for this customer.
Discount Type Discounts that apply to this customer including all discount types like contract pricing (Contract/TP), special pricing (Special/TP), and others.
Discount Summary Summary of the pricing including the list price, total discount, profit, and break level (BLVL).

Cost History

  • From the Product record Views menu, the Cost History option displays the cost changes for the product for the default stocking UOM for the selected cost file and warehouse. The screen shows who made the change and when. In addition, the total percentage of change is displayed.
