From the product record, use the Product Actions menus to access various product-related functions. To access the product actions menus go to Inventory & Products > Products > List Products > select a product > Actions.

Vendor History

  • List of vendors that have been used or could be used to purchase this item. Vendors with purchase orders for this product are added automatically to Vendor History Additional vendors may be added manually.
  • This list of vendors together with information on the last PO placed on these vendors can be used as a reference when purchasing. Additional features apply when creating new Purchase Orders. A quantity can be entered that will become the default quantity on a PO for this product for this vendor. An additional quantity break discount can be added for this vendor for this product.
  • A cost value added to the New Cost field that will apply to POs made after the New Cost Date. This cost will show up as the default price during a PO for this vendor. If no New Cost is defined, then the Last Cost (paid on a previous PO) will be the default price in PO entry. If neither of these apply (perhaps this is the first time purchasing from a vendor), then the cost defined in the product’s cost screen will be used in PO entry.

Vendor History Details: Fields

Fields and Functions Description
Vendor Code Code that identifies the vendor. An entry in this field is required.
Vendor Name Name of the selected vendor. The name will be automatically entered when the vendor code is entered.
Last PO No The last purchase order for this vendor that includes the product.
Last PO Date Date of the last purchase order for this vendor that includes the product.
UOM Unit of measure for the product that was purchased on the purchase order.
Last Quantity Last quantity purchased on the purchase order.
Last Cost (S) Last cost for the product on the purchase order.
Vendor Product Code Vendor Product Code associated with this product. A new vendor product code can be added to the product using this field.
PO Quantity PO Quantity (in terms of the default purchasing unit of measure) will be used as the default value in the product line item Quantity field on a PO to the vendor.
New Cost ($) The value in the New Cost field shows as the price for the product on POs for this vendor made after the New Cost Date. If no New Cost is defined, then the Last Cost (paid on a previous PO) will be the default price in PO entry. If you’ve never purchased from this vendor before then it could be that neither of these apply. In that case, the cost defined in the product’s cost screen will be used in PO entry.
Cost Date This is the date after which the New Cost will be effective.
PO Discount (%) Quantity break discount that applies to this vendor for this product

Linked Files

  • Linked files can include files of any type including images, specification sheets, instructions, and MSDS documents.
  • Linked files can be assigned to a “type” which can be defined as “MSDS” or “Web” type. Files assigned to these types will be available online through the product details screen in the Self Service Portal and Online Stores. For example, to put supplemental product marketing material online, attach the material as a linked file with a document type that is designated as “Web”. Now the file will be available to web viewers through a link on the product screen.
  • The ability to link documents to a record is available from the Action Menu on records for a customer, product, vendor, contact, quote, order, invoice, and PO.

Linked Files Details: Fields

Buttons and Functions Description
Linked File Link a file to the record. Use the Select button to find a file on your network. When a file is initially selected, the file name will be displayed as well as a “Remove” button. The file can be removed by clicking the “Remove” button. When editing an existing linked file, choose “Select” again to replace the existing linked file.
Type Linked file type based on the linked file type value list. Assign a linked file type with a definition of “MSDS” or “Web” to automatically display the document on an eCommerce site.
Description Freeform description of the file, the file’s purpose, or any other relevant information.
Linked By Name of user who linked the file is automatically displayed.
Date Date the file was linked is automatically displayed.

Product Serial Number

  • The Serial Number Tracking system lets you track products by serial number through the receiving and sales processes.

Product Serial Number Documents: Display Area

List of transactions “Document History” tracks the transactions involving this item.

Fields and Functions Description
Type Type of transaction: Customer, Warehouse, Salesperson, or Vendor.
Location Location of the serialized item: Customer code, Warehouse Code, Salesperson Code, or Vendor code.
Transaction Date Date of the transaction.
Document Code Document ID number. A document is a record of the transaction. “Manual” indicates that the serialized item was “moved” by changing the location in the Serial record.

Product Costs

  • Display or change the product cost. There are three costs available for each product plus the Average Cost which is calculated by the system. Each warehouse location can have its own cost, future cost, and minimum profit margin restriction.
  • Costs are specified based on the default pricing UOM.

Product Cost: Options

  • Select the option for the cost file to view or edit: Standard, Alternate, Average, or Special Cost. The screen display options will vary depending on the file selected.

Standard Cost Fields

  • Options are available to set standard cost by warehouse and enter purchasing inventory levels that will generate a purchasing reminder report.

Average Cost Fields

  • View current Average Cost and when it was last modified. Standard Cost can also be viewed or changed in this area.

Product Location

  • Location codes describe locations where products are stored in a warehouse. Products on pick tickets can be sorted (numerically) by the Location Codes associated with the product.
  • Set up the value list of Location Codes then assign products to locations in the product record.
  • For products that the Track Location checkbox is selected, the system will keep a tally of the inventory by each Location assigned to the product. Whenever track location products are picked, moved or put-away, the specific locations will have to be specified. All Lot Controlled products will automatically also have the track locations checkbox selected.

Product Location: Fields

Location Location Code. A product can be associated with an unlimited number of Locations.
Location Description Description of Location.
Primary? Select one Location as Primary for this product.
Committed Qty This is the quantity that has been recorded for a transaction in process. For example, if an order is placed for a qty of 10 of this product, when picked the location will be recorded and the committed quantity will show 10. However, this will not update the current quantity until the order is ship confirmed; until then it will be shown as committed.
Min Qty Minimum quantity of this product that may be stored at this location.
Max Qty Maximum quantity of this product that may be stored at this location.
Current Qty Current quantity of this product at this location. For a track locations product, the sum of the current quantity for each location associated with the product will always match the quantity on hand of the product.
Qty Quantity on this transaction. The total of the quantity on each location must match the transaction quantity

Accessory Products

  • When the associated product is ordered, in Order Entry, the Accessory Products screen makes it easy to import accessories to the order. The accessory list can be used as a sales aid and as a convenience when an order is placed.

Alternate Products

  • When the associated product is ordered in Order Entry, the Alternate Products screen makes it easy to import alternates to the order. The alternates list can be used as an easy way to substitute a product when the associated product is out of stock.

Promotional Pricing

  • Promotional pricing stores a fixed dollar price as advertised pricing for each warehouse. Promotional pricing serves as a special discount with specific starting and ending dates for the promotion. Without starting and ending dates, the pricing stays in effect. This pricing overrides all other pricing methods except contract pricing,

Start Date Date when the promotional pricing should be activated.
Expiry Date Date when the promotional pricing should end.
Discount (%) Percent of discount offered by the promotional price. Adjusting the discount percent with change the amount shown in the Promotional Price field.
Profit Amount Dollar amount of profit that results from the promotional pricing.
Profit (%) Percentage of profit that results from the promotional pricing.
Change Date Date the promotional pricing was last modified. This is not the date that the pricing will start or end.

Product Synonyms

  • Product synonyms are alternative product codes that can be used to search for or enter a product in order entry. The synonyms may be shorter or easier to remember phrases or more common than the product number. These are phrases defined by your company and must follow the same rules of entry as regular product numbers.
  • If a vendors or customers have specific codes they use to identify a product, enter these as Vendor Product Codes (Vendor Detail screen) or Customer Product Codes (Customer Detail screen).

Product Synonym: Fields

Fields and Functions Description
Product Code Product code to be used as a synonym.
Description Description for the synonym product that describes the reason for the synonym. Think of this as notes relating to the synonym.
UOM Unit of measure related to the synonym product. UOM is only needed if this synonym is related to a specific unit of measure.
UPC Type UPC Codes were created as a method of using universally recognized numbers in a standard format to identify specific product codes. UPC numbers are 12 digits long and types 2-4 have a 2 digit prefix.  UPC numbers can easily be used as synonyms for vendor product codes or for manufacturer product codes.

Bill of Materials

  • A Bill of Materials (BOM) can be used to specify a set of sub components that can be transformed into a finished product.
  • Build the BOM by adding products (sales, raw, or special order) to the BOM List. A BOM may specify as among its list of components other BOMs. In this scenario, the main BOM may be referred to as a “parent” BOM and the component BOM as a “child” BOM. There can be multiple levels of child BOMs, and there is no limit to the number of nested BOMs that may be used.
  • Identify a product as a BOM product by selecting BOM Class on the Product Details screen.
  • From the Bill of Materials menu you can list BOM batches and create and finish batches.
  • Before a BOM is finished, it will need to be updated for any intervening cost changes. A setting allows for automatic BOM cost rollup when the cost changes for items on a BOM. If the automatic update feature is not selected, BOM costs can be updated manually by choosing the Update BOM Cost option available from the Product > Actions > Update Bill of Materials Cost.
  • To see or edit a BOM go to Inventory and Products > Products > select a product > Actions > Bill of Materials

Update BOM Costs

  • Before finishing a BOM, the cost/weight of the raw materials may be manually update to ensure that the finished BOM is costed with current values.
  • The cost will be updated for the default BOM UOM. Note that a component item with a specific Finished UOM may contribute differently to overall cost in the Finished UOM compared to other UOMs.

Product Update BOM Costs: Fields

Warehouse to Change Warehouse(s) to update the cost for. Select one or all warehouses to update.
Cost Files to Update Cost files that will be updated: standard (usually order entry/business cost), alternate (usually PO/replacement cost).
Update BOM Product Weight Update the BOM Product weight field on the product record to reflect total of the component weights.
Component Cost Warehouse Cost of components for this warehouse will be used to update the BOM cost.

Lots List

  • The Lot Control system tracks shipments and receipts by Lot No for products that are marked as Lot Controlled products on the product record.
  • All Lot Controlled products are also automatically marked for Track Locations, which tracks inventory at each location assigned to the product.
  • For these products, the Lot Control system requires entry of a Lot No and the assignment of Locations as products are received. In lieu of the Manufacturer’s Lot No, the system can use an automatically generated number.
  • The total quantity received on a PO must be allocated to one or more Lot Nos and one or more Locations.
  • Similarly, for sale of Lot Controlled products the Lot No and the Locations of these products will be required in order to ship confirm the transaction.
  • Lots Nos may be viewed by purchase order from the Vendor record and Product record. The Lot No is also specified on invoices.

Product Lots List: Fields

Product Lot Document History

  • The Lot Document History screen shows the documents (transactions) associated with a Lot.

Product Lots: Display Area

Fields Description
Type Type of transaction. Purchase Orders and PO Receipts are type “P”. Invoices are type “I”. Lot Adjustments are type “A”.
Document Document ID number. A document is a record of the transaction. Click the link to view a summary of the document.
Date Date of the transaction.
Time Time the lot was created.
Qty Quantity involved in the transaction.
UOM Unit of measure.
Beginning Balance Inventory balance before the transaction.
Ending Balance Inventory balance after the transaction.

Kit Components and Configuration

  • A kit is a group of products sold under a single product code. The kit can be displayed as a single line item or may be automatically exploded into its individual components. A product with Class “K” is considered a kit.
  • The Kit List screen is the central location for kit information and set up.
  • Set up the kit using the More > Default Setup screen.
  • Kits can be set up to show Kit Only, Detail Only, or User Choice during order entry. Selecting Kit Only forces the kit to show a single line item at order entry. With Detail Only, the kit will explode into its individual components on the order. With User Choice, the user can choose how the display will appear on the order.
  • Kits are inventoried differently depending on the display option. If the Kit Only option is chosen, the kit is inventoried by the kit product code. If the Detail Only option is chosen, the kit is inventoried by its individual component products. With the User Choice option, the kit is inventoried according to the selection during order entry.
  • Kits that are inventoried by kit can be Finished into completed products from the More Button>Finish Kits option. When you finish a kit, you are reducing the on hand quantities of the kit components and increasing the on hand quantity of finished kits. It only makes sense to Finish a kit if you intend to sell it as a kit in order entry rather than by showing components.
  • To create a kit, edit a kit, finish a kit, or change kit set up go to Product > Actions > Kit Components and Configuration.

Product Kit List

  • The Product Kit List screen shows kit components list.

Buttons and Functions Description
Available See the number of kits that are available to make for a specified warehouse. The limiting product will be listed. The number of available items is displayed on the list screen.
More > Update List Price If the kit is priced by the kit, use this option to update the price based on the component prices. If the kit is priced by the component, this option is not needed.
More > Update Cube/Weight Updates the total cubes and weight associated with the kit. View these totals using the List Price option.
More > Finish Kits Finish kits to reduce the quantity of raw materials and increase the number of kits in inventory.
More > List Price Shows the list price for the kit if kit is priced by kit. Use the Update List Price option to ensure the most up to date price.
More > Import Components Enter the product code of an existing kit and import the component products on that kit to the current kit. If you import a list of products and a product is already on the list, the quantities will be added together.
More > Kit Cost Update and view the cost for the kit based on the cost of the components for a specified warehouse. This program updates the same cost file that is updated by purchase orders.
More > Default Setup Kit Configuration screen shows and allows editing of settings for this kit.

Kit Set Up

  • A kit product (class K) with components defined on the Kit List can be sold two different ways. Each kit can be configured to price, cost, and track inventory differently. Kit components can be printed on work orders, pick tickets, or invoices. In some cases, can be modified during order entry or ship confirmation if desired.
  • A kit can be added to an order as a single line item: one line displays on the order to represent the sale. Inventory and cost can be kept by kit or component. Pricing is by kit or component. (An optional kit discount is available when pricing by component.) Kit Only display with inventory kept by kit is a good option if kits are assembled in advance and aren’t easily broken down into component products.
  • A kit can be added to an order as component products, known as “Detail Display”. Entering a kit product to a line in order entry will result in a line on the order for each component in the kit. Inventory is kept by component and cost is stored by component. Pricing is by component with an optional kit discount. This is a good option when kits can be easily disassembled or are assembled after being ordered.
  • If a kit is set up as “User Choice” display, then the user will have the option of choosing whether the kit will be displayed as a kit or as components.

Kit Examples

  • If you repair an item, you may charge a flat fee, yet the actual components that go into the repair may vary. In this case, you want to price by the kit and track inventory by component.
  • If you are going to price by the kit, your display type must be Kit Only; if you are going to inventory by kit your display type must be Kit Only.
  • The display type refers to what shows in the order entry system; if you display Kit Only you can show components also by selecting the appropriate flags for pick and invoice form (and arranging to customize your print forms to be sensitive to the settings in the kit configuration screen).
  • Sometimes the items in a kit are fixed and never change. You sell a brake shoe and brake pad kit that are packaged together in advance of the sale. In this case, pricing can either work if it’s by kit or component, but it’s important to inventory by the kit since the components can no longer be sold independently unless the kit is disassembled.
  • To configure a kit, go to Product > Actions > Kit Components and Configuration > More > Default Setup
  • If the kit is set to Visit Kit Config Screen, then the list of kit items will pop up during order entry and ship confirmation and changes can be made to the kit before the kit is displayed as a single line on the order/invoice.

Product Kit Configuration Screen: Fields

Save Save changes to kit set up by clicking the Save button before exiting the screen.
Order Entry Display Type Kits can be shown in order entry as a kit or component.

Display Components:  Displays components, no display of a kit line item. You enter a single line in order entry and at the end of the line the system explodes your single line entry into many lines; one line for each component of the kit. Obviously, since the components are shown in order entry as separate lines, pricing must be by component if this display method is used. When you display components as individual lines, inventory is handled by component, not by kit. When you display components as individual lines, pricing is always by component. You have to price by component (and process inventory by component) if components are on the order.

Kit Only display: The kit remains as a single line item in order entry. You enter the kit in order entry; pricing is by kit or by component, but only the kit is an order entry line. The pick ticket and invoice can show the component items, but the order line consists of a single kit line. If the kit is captured as a single line in order entry, you can decide if inventory is to be by component or by kit and to price by component or kit.

Price by Kit/Component Kits can be priced by kit or component.

Pricing by Component: Allows an optional kit discount% defined on the kit. The optional discount is shown in the list price field. Now List Price will be shown as Kit Disc%.

Pricing by Kit: Regardless of the list of products that make up the kit, the kit is priced using the standard pricing options available for any other item in inventory.

Visit Kit Config Screen The list of items on the kit can pop up during order entry and ship confirmation so you have the opportunity to adjust these.
Inventory by Kit/Component Inventory for kits can be tracked by kit or by component.
Cost by Kit/Component Cost by kit or component.
Work Order Print, Show Components Force work order to print all kit components regardless of other settings. If kit entries in order entry are exploded into component products (i.e., Detail Only), all forms (pick tickets and invoices) will show the components, not the kit. If the kit display is Kit Only, the kit line will show on printed forms and you can optionally decide if you want the components to show. You could, for example, decide to show components on the pick ticket, but not the invoice. You could decide never to show components (on any form) or always show components (on every form).

Finish Kits

  • A kit product with components defined on the Kit List can be sold using three basic set up options. The option to Finish Kits should be used to take raw materials and allocate them to finished kits. This builds inventory of kits and reduces inventory of the raw materials. Use this option if you assemble a kit that cannot easily be disassembled or for kits assembled in advance and if you inventory by kit, not by component.
  • When you finish a kit, you’ll receive a receipt number for the finished kit.
  • This system allows kits to be used as a true kit or as a bill of materials item (without work in process and/or batch control).
  • Products that are Kit Only display can track inventory by component or by finished item.  If the kit is tracked by finished item you must Finish the kits on assembly (prior to sale) or at order entry time or automatically at order entry.

Unfinish a Kit

  • If you ever need to unfinish a kit, simply enter a negative quantity when prompted for the kit quantity to finish.
  • To finish or unfinish a kit, go to Product > Actions > Kit Components and Configuration > More > Finish Kits

Finished UOMM Unit of measure for the finished kit. Select a unit or directly enter a unit.
Finished Qty The number of kits to be finished.
Can Make Qty Shows the number of kits that can be finished given the current quantity of items available.
Finished Whse Code Warehouse the finished item will be added to.
Finished Date Date the kit will be indicated as finished on.

Product Descriptions

  • Three product descriptions can be assigned to a product. When a product is ordered, the user can select the appropriate product description. You may want to provide a description in another language or with additional details for some customers.
  • The first product description is displayed on the main screen of the product record and during purchasing and on reports.
  • To see or add product descriptions, go to Inventory & Products > Products > List Products > select a product > Actions > Product Descriptions

Reorder Parameters

  • Product reordering can be automated using the Min/Max inventory ordering method which is a widely used, basic reordering mechanism.
  • The “Min” value represents a stock level that triggers a reorder and the “Max” value represents a new targeted stock level following the reorder.
  • The difference between the Max and the Min is frequently interpreted as the economic order quantity.
  • The Min/Max method of automated inventory replenishment methods while simple, has the benefit of being very intuitive and easy to implement and monitor. Min/Max settings can be periodically adjusted to offer better inventory performance.
