Accolent ERP works with any in-house or outsourced Payroll/HR system whether on-premises or in the Cloud. After processing the payroll for any pay period through the Payroll/HR system, enter the consolidated payroll into Accolent ERP as a Voucher. The Voucher can then be paid in Accolent ERP through a single manual check. The consolidated payroll history will be maintained under the Payroll Provider vendor and the GL Posting will reflect all the assigned allocations.

Set Up GL Accounts

  • In the General Ledger Chart of Accounts, first set up the GL Accounts needed to track payroll
  • Typical GL Accounts needed will include: Employee Salaries, Commissions, Medical & Dental, Life Insurance & ADD, Long-Term Disability Insurance, Federal FICA, Federal FUTA, State SUI, Local Taxes, Workers Comp, Retirement, Payroll Processing Fees, etc.
  • If desired, also track GL Account Postings by Department or Cost Center

Create Voucher for Consolidated Payroll

  • All Payroll/HR systems provide consolidated payroll reports that can be used to enter a Voucher for the consolidated payroll entry
  • The total amount of the payroll entry will match the Payroll Provider’s Invoice amount
  • Entries can be broken down by functional department or cost center
  • The consolidated Voucher entry will typically look something like the following:

Create Manual Check

  • Once the Voucher is created, create a Manual Check to record payment by ACH to the Payroll Provider
  • The same process of creating a Voucher and then paying by Manual Check can be used for any types of expenses paid by V-Card, ACH or Wire Transfer

Direct Integrations

  • No integration is needed for Accolent ERP to work with any on-premises or cloud-based Payroll/HR solution
  • If desired, Accolent ERP can be easily integrated with any Payroll/HR system
  • A Payroll/HR system integration consists of (1) making Accolent ERP GL Accounts able to be associated with specific payroll line items (e.g., ER Federal FICA) and (2) automating the creation of a Voucher from a consolidated payroll run
  • We have completed these types of integrations for several Payroll/HR systems
